When is email sent in the bits application?

 

Timed Processes

A monthly process is used to take a copy of Current Business Initiatives status. During that process if an initiative is late a reminder will be sent to the lead.

 

Every month 16 th morning at 4 am a monthly midnight procedure runs to capture the current history snapshot of all the initiatives whose status has the capture history checked.

After the capture, the procedure parses each initiative and checks if the color code is yellow/red/grey.

Based on the color code either the Manager and Lead and other editors or just the Lead and editors are sent an email that their respective initiatives are not current.

The email also includes the Milestone due dates if present for that initiative.

 

Approval Process – change approval

When you make a change to a business initiative that requires approval from someone else, then that person will receive an email message similar to the following:

Change Request Reminder

A weekly process is used to check for change requests that have been waiting to be approved/rejected for more than 14 days (note this value is configurable).

If a pending change request has been waiting for more than 14 days and the designated approver has not received any other change request emails from

the BITS system in the last 14 days, then an email will be generated and sent to the designated approver similar to the email below.
