Monthly Update Information
SDA BUSINESS INITIATIVE MONTHLY UPDATE
Business Initiatives with an Initiative Status of Current Business or Pilot have to be updated on a monthly basis. The state of an initiative is shown in the color coding blocks under Action on the left hand side of the list screen as well as within each initiative by the history balloon under Current Status.
*Please make sure the filtering selections on the List view are set to view active initiatives:
- The first checkbox under Bus Initiatives is set to ALL and the others are cleared
- The second radio button under the second white dividing line is set to CURRENT

Grey = The field Current Status has not been updated in the last month or more
Red = Current Status has been updated but one or more In Progress or On Hold Milestones are 2 months or greater past due
Yellow = Current Status has been updated but one or more In Progress or On Hold Milestones are 1 month or more past due
Green = Current Status has been updated and all In Progress or On Hold Milestones are on time.
HOW TO PERFORM BUSINESS INITIATIVE MONTHLY UPDATES
The Current Status field of Current Business and Pilot initiatives has to be updated each month. You have until the 15 th of the following month to complete the update for the previous month – i.e. you have until October 15 th to update the Current Status for the month of September.
Current Status can be edited or erased and re-entered as a snapshot of the Current Status is taken once a month and saved to history.
On the 16 th of each month, the application evaluates Current Business and Pilot initiatives and checks the Current Status field to see if it has been updated in the last 45 days. If Current Status has not been updated, the initiative is set to Grey .
If the Current Status has been updated, Milestones with a Code of In Progress or On Hold are evaluated based on the Due Date or, if a Revised Due Date exists, the Revised Due Date is used. Based upon the Milestone date evaluation, the initiative is set to the appropriate color listed above.
EMAILS FOR BUSINESS INITIATIVE MONTLY UPDATES
On the 16 th of each month, notification emails are sent out if an initiative is grey, yellow, or red .
Email notifications for initiatives marked Grey are sent to the Initiative Lead’s Manager and the initiative Lead is CC’d.
Email notification for initiatives marked Yellow is sent to the Initiative Lead’s Manager. The initiative Lead as well as the Milestone Lead is CC’d if that is a different person than the Initiative Lead.
Email notification for initiatives marked Red is sent to the initiative Lead’s Manager. The Owner, the Initiative Lead as well as the Milestone Lead is CC’d if that is a different person than the Initiative Lead.

OTHER PLACES INITIATIVE COLOR STATE IS DISPLAYED
The color state of initiatives is displayed in other places in the SDA Business Initiative application.
The Current Status history balloon shows the color history of the initiative for the last 6 months.
When the Current Status history balloon is clicked, the Current Status Monthly History page is displayed with the color history for up to the last 12 months. Also, if the blue link icon in the middle of any of the monthly color bars is clicked, the Current Status text for that month will display below the chart.
Both the Support Dashboard (organized by which District the initiative supports) and the Lead Dashboard (organized by the group working on the initiative) show initiatives by color state. The Dashboards include both Current Business and Pilot . The tile color is based upon the initiative with the lowest color state for the group represented by the tile – i.e. if there are 4 initiatives and 3 are green and 1 is grey then the tile will be grey.
Grey = lowest
Red = 2 nd lowest
Yellow = 3 rd lowest
Green = highest
